Our customer, a leading independent healthcare provider in the UK, operates a network of private hospitals, clinics, and specialist care centres. It delivers high-quality, personalised healthcare services, including diagnostics, outpatient care, surgical procedures, and rehabilitation. With a focus on clinical excellence, patient safety, and innovation, they serve insured, self-pay and NHS patients. The organisation collaborates with leading medical professionals and invests in state-of-the-art technology to ensure optimal patient outcomes.  

Approach

The organisation faced significant challenges that required urgent transformation to modernise its operations and maintain its role as a leading healthcare provider. Years of insufficient investment in the digitisation of frontline clinical tools had left them behind industry standards, restricting its ability to deliver efficient and effective care. The lack of modern systems contributed to staff performance concerns, with many employees experiencing low confidence and limited technology literacy, making it difficult to adopt new ways of working. Combined with ongoing pressures from Business As Usual operations and reduced staff capacity, the organisation faced an uphill task in embedding critical changes. 

 

The scale of change was substantial, involving the rollout of new digital systems across 16,000 care providers and 40 healthcare facilities. This required the purchase, configuration, and deployment of over 900 devices, all within a tight timeline. However, the organisation’s ability to absorb such significant change was already stretched. The risk of failing to embed these changes effectively was considerable. Without successful adoption, frontline staff would continue to rely on outdated and inefficient tools, further eroding performance, staff confidence, and patient outcomes. Delays or failures in implementation could deepen technology resistance, reduce morale, and limit the organisation’s ability to meet growing clinical demands. 

 

Moreover, not achieving a rapid and seamless rollout could jeopardise our customer’s ability to keep pace with industry standards, diminishing its competitive position and risking reputational damage. To overcome these challenges, the organisation needed a strong focus on change and project management to ensure staff engagement, effective training, and smooth adoption. By embedding the required changes successfully, they could enhance frontline clinical performance, rebuild staff confidence, and position itself to deliver high-quality care in an increasingly digital and competitive healthcare landscape. 

Outcome

A structured and collaborative approach was adopted to support in the delivery of a seamless transition to digital ways of working. The first step involved conducting a detailed requirements assessment to ensure the project’s foundation was robust and aligned with the organisation’s needs. This included gathering, analysing, and prioritising the key features and functionalities necessary to enable digital transformation. Contracts were negotiated to ensure the best value and a shared commitment to outcomes, while careful planning was undertaken to embed the selected vendor into the project team. The onboarding process ensured all parties were aligned on project objectives, timelines, and ways of working from the outset. 

 

The project set-up and initiation phase brought together a core delivery team to formally kick off the transformation effort. This phase focused on ensuring clarity and alignment across scope, objectives, timelines, and practical ways of working. Detailed and practical delivery plans were developed, providing a roadmap for execution that accounted for both the scale of the transformation and the urgency of delivery. To ensure a coordinated approach, the team worked closely with Subject Matter Experts (SMEs) from across the organisation, including Legal, Procurement, Clinical Services, Technology, and key C-suite stakeholders. This cross-functional collaboration ensured the project was grounded in operational realities and could navigate the complexities of implementation. 

 

The approach also had to address several significant challenges. The existing Project Management and Change Management functions were relatively immature, which required the team to develop and embed these capabilities while delivering the project at pace. This necessitated a dual focus on execution and upskilling, with an emphasis on coaching and building the internal capacity required to sustain long-term change. Scepticism across the organisation also posed a challenge, as previous initiatives may not have delivered the intended outcomes, leading to resistance and a lack of confidence in new projects. To overcome this, the team prioritised engagement and transparency, ensuring that progress was communicated clearly, and frontline staff felt supported throughout the process. 

 

The project was further constrained by truncated timelines and a pressing need to deliver results quickly while maintaining quality. This required an agile and adaptable approach, with the team focused on balancing speed with the need for careful planning and stakeholder alignment. Practical coaching and support mechanisms were introduced to ensure staff were upskilled in parallel with project delivery, fostering greater confidence and ownership of the changes. 

 

By combining a methodical approach with cross-functional collaboration, transparent communication, and an emphasis on upskilling, the organisation was able to tackle its challenges head-on.

 

As a result of our involvement in the project, our customer is now well-positioned to deliver the next critical phases of its digital transformation programme, including solution design, system build, testing, and technical deployment. Through our structured and collaborative approach, we developed detailed communications, training, and rollout plans tailored to the organisation’s unique needs and limitations, ensuring a clear pathway for successful adoption. 

 

A key outcome was the upskilling of the organisation’s project management and change management capabilities.
